Case Study 007 - Interactive RACSI Spreadsheet
Background
One of our top clients facilitates meetings for executives. He was working with one of his clients on their annual goals. Our client wanted to guide the team of this startup using the RACSI model to assign key results under his client's broader objectives for the year.
The RACSI Model:
Responsible – for doing the work
Accountable – for the work
Consulted – to ensure their voice is incorporated
Supports – assisting those responsible
Informed – kept up to date on progress
Project
Bright Triangle received a simple spreadsheet with names across the top and key results grouped under objectives in the rows. The task was to improve the sheet's aesthetics and add conditional formatting so that the cells would turn green when someone was assigned a task, i.e., they were responsible.
The presenter and all the executives were connecting via Zoom. Our client planned to share his screen and open the spreadsheet. As the presenter and his participants discussed the assignments, the spreadsheet needed to indicate visually when someone was assigned a key result.
Even though the client had only asked for a cell to turn green when he placed an R in the cell representing each person's column and assigned a key result row, we realized that there were five different possible roles that people might take: R, A, C, S, or I. We also knew a bit about the organization, and its mission involved overseas shipping.
Solution
We set up five conditional formatting rules for each of the five assignment possibilities, carefully applying those individual rules to all the applicable cells.
Some tips we gave our client included double-clicking the Excel ribbon to collapse it. This would give him some additional screen real estate on Zoom. Also, we advised him to turn on caps lock so that as he entered letters, they would be clearer for all participants.
Here is a screenshot of the final result.
Update
After the session, the executives collapsed the Responsible and Accountable assignments into one category: Ownership. Because of the way we structured the conditional formatting, this was a quick and easy change.
Note: The company name, the key results, the objectives, and the names of the executives have all been changed.
